RootSignal LLC (“RootSignal,” “we,” “us,” or “our”) respects your privacy. This Privacy Policy explains what information we collect, how we use and protect it, and the choices you have — including how our text-message (SMS) program works and how to opt out at any time. It applies to myrootsignal.com and to the communications we send.
1. Information we collect
We collect information you provide directly, information collected automatically when you use our site, and, where applicable, information provided by the healthcare practices we work with.
Information you give us
- Contact details — name, email address, mobile phone number, and (for practices) practice name, role, and mailing address.
- Form & booking details — information you enter when you request information, book a scan or call, or complete a purchase.
- Communications — messages you send us and your preferences.
Information collected automatically
- Usage & device data — IP address, browser type, pages viewed, and referring links, collected through cookies and similar technologies (see §5).
2. How we use information
We use the information we collect to:
- Provide, operate, and improve our services, website, and Provider Portal;
- Respond to your inquiries and provide customer support;
- Schedule and confirm appointments, scans, and calls;
- Send you transactional messages (such as booking confirmations, reminders, and document-signing requests) and, where you have opted in, informational or promotional messages;
- Process purchases and administer agreements;
- Maintain the security and integrity of our services and detect fraud;
- Comply with legal obligations.
3. Consent & your choices
Where we rely on your consent — for example, to send you marketing email or text messages — you may withdraw that consent at any time. Withdrawing consent does not affect messages that are necessary to complete a transaction you requested (such as a booking confirmation or a document you asked us to send).
4. Text messaging (SMS)
RootSignal offers text-message communications to people who provide their mobile number and opt in — for example, appointment and scan reminders, booking confirmations, document-signing links, account and onboarding notices, and, where you have separately agreed, informational or promotional updates.
How you consent
You opt in by submitting your mobile number through a form on our website, during booking or purchase, or by otherwise expressly agreeing to receive text messages from us. Consent to receive text messages is not a condition of purchasing any goods or services.
Message frequency varies based on your activity and the messages you have opted into.
Message and data rates may apply. Your mobile carrier’s standard rates apply to messages you send and receive.
To opt out, reply STOP to any text message from us at any time. You will receive a one-time confirmation that you have been unsubscribed, and we will stop sending you text messages.

Carriers are not liable for delayed or undelivered messages.
7. Data security
We maintain reasonable administrative, technical, and physical safeguards designed to protect your information. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
8. Health information & HIPAA
The RootSignal system, including the scan and the Vitality Index report, is a wellness and educational screening tool. It is not a diagnostic device and does not diagnose, treat, cure, or prevent any disease.
Where a partner practice uses the RootSignal application to process protected health information (PHI), that practice is the covered entity responsible for the PHI, and RootSignal acts as a business associate under a separate Business Associate Agreement. This Privacy Policy governs the information described above that we collect directly through our website and communications; it does not replace the notices or agreements that govern PHI held by a partner practice.
9. Your rights
Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, and to opt out of certain uses. To exercise these rights, contact us at [email protected]. We will respond as required by applicable law. You may unsubscribe from marketing email using the link in any such email, and from text messages by replying STOP.
10. Data retention
We retain personal information for as long as needed to provide our services, comply with our legal obligations, resolve disputes, and enforce our agreements, after which we delete or de-identify it.
11. Children’s privacy
Our services are intended for adults and for healthcare practices. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.
12. Third-party links
Our site may link to third-party websites and services that we do not control. This Policy does not apply to those sites, and we encourage you to review their privacy policies.
13. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the “Last updated” date above, and, where appropriate, provide additional notice. Your continued use of our services after an update means you accept the revised Policy.
